Google Calendar sync for online booking

Connect Google Calendar on Pro. Bookibles adds dated bookings to a dedicated calendar and uses selected busy times to protect fixed-slot availability.

Bookibles’ Google Calendar sync is available on Pro and above. Scheduled fixed-slot and date-only bookings are written to a separate Google calendar Bookibles creates; selected calendars send busy intervals back to Bookibles to remove matching fixed slots. Google-side edits do not update Bookibles, and busy-time import runs every five minutes rather than in real time.

What two-way sync means in Bookibles

Two-way describes the direction of the data flow. Eligible Bookibles bookings are written to Google Calendar, while busy intervals from Google calendars the business selects are imported into Bookibles availability.

It does not mean the same event can be edited in either product. Changing or deleting a Bookibles-created event in Google Calendar does not update the booking record in Bookibles; booking changes must be made in Bookibles.

A dedicated calendar keeps booking events separate

When the business connects Google Calendar, Bookibles creates a separate secondary calendar named “Bookibles — {business}” instead of writing to the account’s primary calendar. That calendar is excluded from imported busy sources so a Bookibles booking cannot block its own slot.

Scheduled fixed-slot bookings become timed events, and date-only bookings become all-day events. Events include the service name, customer name, date or time, and time zone. A reschedule updates the event; cancellation or no-show removes it.

Selected calendars protect fixed-slot availability

The business chooses which Google calendars should make it unavailable. Bookibles uses the most recently imported busy ranges; it does not query Google live while a customer submits a booking. Matching fixed slots are removed from public availability, and the authoritative booking write checks the imported blocks again before accepting the appointment.

If no source calendar is selected, eligible bookings still go to the Bookibles-created calendar, but Google commitments do not block public availability. External busy time closes single-capacity services by default. Unlimited-capacity services remain open, while shared-capacity services are blocked only when the business enables that setting.

A busy-only privacy boundary

Bookibles uses calendar identifiers, names, and primary status to show the source picker. For calendars the business selects, Google returns start and end times for busy intervals—not event titles, descriptions, locations, attendees, or guests.

The Bookibles-created calendar receives the business name and time zone, and its booking events receive the service name, customer name, date or time, and time zone. OAuth refresh tokens are encrypted and kept outside the normal web application’s access. The Privacy Policy explains the complete data flow and disconnect behavior.

Sync timing and conflict handling

Busy-time import runs every five minutes, and booking-event updates are processed asynchronously. The dashboard shows the connection status and last sync time so the business can see when a connection needs attention.

An external busy block can arrive after a booking already exists. Bookibles surfaces that overlap as a conflict and never cancels the booking automatically. Separately, Bookibles’ authoritative database workflow prevents two Bookibles requests from taking the same prohibited capacity; calendar synchronization is not the lock for that in-product race.

Eligibility and current limits

Google Calendar sync is a business-side feature on Pro and above. It supports Google only; Outlook and Apple Calendar are not supported. Unscheduled flexible requests and time-only bookings are not written as Google events.

Customer booking emails can include a calendar invitation that works separately from this business integration. Bookibles does not connect to or store a customer’s Google Calendar authorization for that invitation.
