Build a lesson menu students and parents can understand

A useful online lesson booking option identifies the subject, level, lesson format, duration, location, preparation, and a price only when that price reliably applies. Use specific service names such as “GCSE maths — 60-minute online lesson” instead of several generic options called “Lesson.”

Create separate services only when the duration, format, price, capacity, preparation, or customer decision genuinely differs. A smaller set of distinct choices is more useful than keyword variations that lead to the same lesson.

Choose fixed slots, flexible requests, and capacity deliberately

Use fixed slots for repeatable one-to-one lessons with a dependable duration. Use a flexible request when an assessment, travel, group size, or preliminary conversation must be reviewed before the tutor can agree to a time.

For a small-group lesson, a capacity limit can admit multiple bookings into the same offered time until the limit is reached. Bookibles does not maintain attendance, course rosters, classroom assignments, or teacher allocation for those bookings.

Publish tutoring availability you can honor

Set realistic weekly hours, use service-specific schedules where a lesson needs different availability, and leave room for preparation, breaks, and travel. A public slot should represent time the tutor can actually give to that lesson.

Online and in-person services should not silently share identical availability when travel, location, equipment, or setup changes what is workable. Recurring weekly availability creates repeatable booking windows, not a recurring lesson series; each lesson remains an individual booking.

Keep external commitments out of available lesson slots

Google Calendar sync is available on Pro and above. Eligible Bookibles bookings are written to a dedicated Google calendar, while Busy events from calendars the tutor selects can remove matching fixed slots from Bookibles availability.

Busy-time imports are scheduled every five minutes, and booking-event updates are processed asynchronously. Editing the Google event does not update the Bookibles booking, so rescheduling and cancellation must be completed in Bookibles.

Set expectations before the lesson is booked

Keep a request pending when the tutor still needs to confirm fit, location, or timing. Use automatic confirmation only when the published duration, availability, format, and capacity are dependable enough to honor the selected slot.

Bookibles emails the customer and business when a booking is created, confirmed, rescheduled, or cancelled. An eligible scheduled lesson also receives one reminder four hours before the start and includes a calendar invitation; the lesson must be booked more than four hours ahead for that reminder to be scheduled.

A displayed lesson price is informational because Bookibles does not collect lesson payments, deposits, package fees, or subscriptions. Video joining details must also be coordinated separately because Bookibles does not generate Google Meet or Zoom links.

Coordinate changes without turning Bookibles into a student record

Use booking statuses and direct customer messages for practical timing, location, or joining instructions. Keep the formal booking current when a conversation changes whether or when the lesson will happen.

Each ongoing or recurring lesson must currently be booked or managed individually. Bookibles does not generate a semester timetable or sell lesson credits and packages.

Keep grades, assessments, homework files, health information, safeguarding records, and detailed learner progress in an appropriate specialist system rather than an ordinary booking profile or conversation.

Use an adult booking contact for younger learners

Bookibles is not directed to children under 13 and does not knowingly collect personal data from them. A parent or guardian should act as the booking contact for a learner under 13.

Do not place a child’s personal details or sensitive educational information in public business or service copy. Tutors remain responsible for the safeguarding, parental-consent, privacy, and professional requirements that apply to their work.

When Bookibles is—and is not—the right fit

Bookibles can suit an independent tutor who needs a public profile, one-time one-to-one or small-group lesson bookings, clear availability, booking statuses, and practical customer communication.

It is not a replacement for payment processing, packages, recurring timetables, attendance, a student CRM, progress tracking, classroom management, multi-tutor allocation, or automatic video meetings. Use specialist tutoring software when those functions are required.
