The tutoring intro call: structure and scheduling
Plan a tutoring intro call that separates fit from teaching, includes the right parent or student, sets clear next steps, and uses honest booking rules.
The short answer
A tutoring intro call should clarify who will join, the learner’s goal, subject and level, whether the tutor’s stated experience and approach fit the request, practical scheduling constraints, and the next decision. It should not quietly become an unpaid lesson, a formal diagnostic assessment, or a promise of results. Publish it as a separate Bookibles service with a clear duration, format, whether it is free or paid, and a pending-or-confirmed rule. Use a fixed slot when the call length and availability are dependable; use a flexible request when timing or suitability still needs review. For a learner under 13, a parent or guardian should be the booking contact.
The purpose is to decide whether and how to continue, not to compress teaching, assessment, enrollment, and long-term planning into one short conversation. A useful call leaves the tutor, learner, and parent or guardian with the same understanding of the next step, including when the answer is that the request is not a suitable fit.
Define what the call includes—and what it does not
Create a distinct intro-call service only when its purpose, duration, preparation, or booking flow genuinely differs from a lesson. Name it plainly, then state whether it is parent-focused, learner-focused, or intended for both; which subjects and levels can be discussed; how the conversation happens; and what decision follows.
Do not describe the call as a free lesson, formal diagnostic assessment, guaranteed tutor match, or promise of academic progress. If the tutor provides a genuine trial lesson or paid assessment, that is a different service with different preparation, duration, and expectations. Several keyword variations that lead to the same conversation do not need separate Bookibles services.
State whether the intro call has no charge or carries a fee without assuming either model is universally better. A displayed Bookibles price is informational: Bookibles does not collect the call fee, deposit, or later lesson payment.
Decide who should join before opening the calendar
An adult learner can normally act as the booking contact and speak for their own goals. For a learner under 13, a parent or guardian should submit the booking and remain the customer contact because Bookibles is not directed to children under 13 and does not knowingly collect their personal data.
For older minors, explain whether the parent or guardian, learner, or both should attend. That decision depends on the learner’s age, the service, the meeting setting, the tutor’s safeguarding policy, and applicable local requirements. Do not turn one jurisdiction’s supervision or consent rule into universal advice.
The call description should make the participation rule visible before booking. A parent-only consultation and a learner trial session are different interactions; ambiguity about who is expected can consume most of a short appointment.
Ask for enough context, but not a student record
Useful pre-call context is narrow: the subject and approximate level, the reason support is being considered, a relevant exam or deadline, online or in-person preference, broad availability constraints, and who plans to attend. If customer comments are enabled, tell the booking contact exactly which short details will help the tutor prepare.
Do not use an ordinary booking comment to collect detailed grades, school records, diagnostic or medical information, safeguarding disclosures, education plans, assessment reports, homework files, or identity documents. Keep sensitive educational and welfare information in an appropriate specialist process with the consent, access controls, and retention rules the tutor is required to follow.
A Bookibles booking is an appointment record, not a structured student questionnaire or safeguarding case file. Collect only what is necessary to decide how the intro call should proceed, and ask for further information through an appropriate private channel only when it is genuinely required.
Use a repeatable agenda without scripting the learner
A repeatable structure keeps the conversation from becoming an open-ended lesson or sales pitch. The following 20-minute agenda is an example, not an evidence-based universal optimum. Choose and publish a duration the tutor can consistently honor, then reduce the agenda when the call is shorter rather than allowing every appointment to overrun.
- First 2 minutes — confirm the participants, purpose, available time, and that the appointment is an introductory conversation rather than a tutoring lesson.
- Next 5 minutes — hear the learner’s goal, current difficulty, subject and level, relevant deadline, and what support has already been tried.
- Next 5 minutes — explain the tutor’s relevant experience, teaching approach, service boundaries, and any reason the request may need a different specialist.
- Next 5 minutes — discuss online or in-person format, realistic availability, likely lesson cadence, communication boundaries, and the separate payment process.
- Final 3 minutes — agree on one outcome: invite a first lesson, request specific additional information, follow up after review, or close the enquiry as not suitable.
Choose fixed slots or a flexible request
Use fixed slots when the call has a dependable duration, the tutor can publish specific availability, and subject or age eligibility does not need to be reviewed before a time is accepted. For one tutor holding one conversation, enable Limit bookings per slot and set the maximum to 1. A parent and learner attending together remain one customer booking, not two units of capacity.
The configured duration should represent the occupied call. The start interval controls how often another call can begin. Bookibles has no separate per-booking buffer field, so an interval longer than the call duration can leave time for notes, a short reset, or a delayed ending without consuming the next appointment.
Use a flexible request when the tutor must review subject, level, location, suitability, or broad timing before offering a specific appointment. Do not publish both fixed and flexible versions merely to target different search phrases; choose the workflow that truthfully represents how the tutor accepts the call.
Make pending and confirmed mean different things
Use automatic confirmation only when the published time, format, participant expectations, duration, and capacity can be honored immediately. Keep the intro call pending when the tutor must review subject fit, age range, location, or timing. A pending request has been received; it is not a confirmed appointment.
With capacity limiting enabled, pending and confirmed Bookibles bookings occupy the applicable slot until the allocation is released. Confirm, reschedule, or cancel the request promptly so the public calendar and the customer’s expectations remain accurate.
End the conversation with the same clarity. The next step may be a separately booked first lesson, a request for information, a later follow-up, or no engagement. Bookibles does not automatically create the first lesson, sell a tutoring package, or generate a recurring lesson series from the intro call.
Communicate the practical details before the call
The service description should state whether the meeting is by phone, video, or in person; which time zone applies; who initiates the call; how joining instructions are delivered; and what to do when someone is late or needs to cancel. Video joining details must be coordinated separately because Bookibles does not generate Google Meet or Zoom links.
Bookibles emails the business and customer when a booking is created, confirmed, rescheduled, or cancelled. An eligible scheduled call also receives one reminder four hours before the start and includes a calendar invitation; it must be booked more than four hours ahead for that reminder to be scheduled.
An unscheduled flexible request does not yet have a dated event to remind the customer about or write to Google Calendar. After the tutor and customer agree on timing, record the correct date, time, and status in Bookibles instead of relying on a separate conversation as the appointment record.
Protect availability and test the customer journey
On Pro and above, eligible dated Bookibles bookings are written to the dedicated Google calendar, while Busy intervals from selected calendars can remove matching fixed slots. Busy imports run every five minutes and outbound event changes are asynchronous. Editing the Google event does not update the Bookibles booking, so accepted changes must be made in Bookibles.
Before sharing the direct service link, open it on a phone as a customer. Verify the participant rule, purpose, format, time zone, duration, price or no-charge wording, capacity, availability, and pending or confirmed language. Complete a guest test booking with an adult contact, confirm the expected business and customer emails, then cancel the test and verify that capacity returns.
If the service requires a phone number, verify that the reason is clear; otherwise a guest can submit with a name and email. Do not put a real child’s information into a test record, and remove the test booking from the active operational workflow when verification is complete.
